Office Manager

Description:

Provide administrative assistance to the Pastor, staff, church officers and congregation and manage the church office to support the ministry and mission of BPC.

Interface with all people who come in contact with BPC in a manner consistent with BPC values of hospitality, welcome, openness, caring and concern.

Specific Skills and /or Experience required:

Ability to work well with people on a wide variety of tasks; proficient in MS Office Suite and knowledgeable in database and website use and management.

Flexible, positive, can- do attitude to handle with the diverse set of activities in the church office with grace.

Accountability:

The Office Manager is accountable to the Pastor, as Head of Staff, and to the Session through the Session’s Personnel Committee.

Specific Responsibilities:

Reception:

  • Greet visitors and answer the phone.
  • Respond in a timely manner to requests for information made through various church email addresses.

Secretarial

  • Perform all church mailings including pledge drive, Fall Welcome packets, etc.
  • Prepare bulletins and announcements for Sunday worship and special events such as weddings and baptisms, special music events and other church programs.
  • Maintain church calendar of all activities using the church facility.
  • Prepare minutes and other documents for session meetings and distribute to session members prior to meeting.
  • Prepare Annual Report and other materials to support the annual meeting.
  • With assistance from the Clerk of Session, prepare session minute and clerk’s reports for submission to and approval from the Presbytery.

Financial

  • Ownership of Pledge tracking- set up entering of contributions and producing statements using the Realm database.
  • Code and record receipts.
  • Prepare and make Bank Deposit.
  • Prepare Accounts Payable package for Accountants including financial account coding and back up documentation.
  • Support annual Stewardship campaign and production of annual statements.

Membership

  • Maintain church database.
  • Maintain church records including pledge and stewardship info and history.
  • Update Deacon, Session, and Committee member lists.
  • Update database of advancing Sunday School grades at the end of each year.

Communications

  • Monitor website content and coordinate required updates including calendar.
  • Coordinate and send out the E-newsletter.
  • Contact local newspapers and coordinate advertising for Easter, Christmas and other special events.
  • Maintain the Entrance Hall bulletin boards.

Building Use

  • Interface with all the groups who use the church building including Landmark, choral groups, AA and others.
  • Consult with the custodian and sexton about building needs or specific requirements of groups using the building.
  • Update and mail building leases to long-term rentals.
  • Provide oversight to custodial staff as appropriate.

Other

  • Attend weekly staff meetings.
  • Support staff and volunteer special projects such as annual pledge campaign, Mistletoe Mart, Quilt Raffle, Milie Kane Luncheon, Coffee Hour, ESP Shelter, Food Pantry, Flower Dedications, Midnight run, etc.).
  • Provide supervision of office assistants.
Hours

This is a full-time position – Monday through Friday, 9AM – 5PM.
